User Roles and Responsibilites

Sitecore uses a browser-based interface that allows all user roles to access the content management system.  Because these roles don’t have the same access requirements, not all users need the same level of access to features.  For this reason different roles were created to enable each user to have the proper interface functionality based on their defined role.

The level of role determines which areas and functionality will be available to the user in the Sitecore interface.  Some examples include:

  • Application shortcuts available in the Desktop interface’s Sitecore menu
  • Commands available in the Content Editor interface
  • Commands available in the Control Panel application
  • Publishing rights

User Roles

The following three user roles each reflect different levels of Sitecore access. All roles are required to follow conventions of the TUSM Web Style Guide and abide by TUSM Web policies.



Editor

Suitable for: frequent users, senior staff members or their delegates.

Abilities: Can edit existing pages, create and/or delete pages, and approve content.

Responsibilities:
  • Define workflow for sub-roles
  • Avoid duplication of content
  • Periodically review the site
  • Approve the publication of content (inside or outside workflow)
  • Ensure information is accurate, relevant and consistent, and complies with School and University Web Policies
  • Approve page creation or deletion
  • Remove or oversee the removal of content if it becomes out-of-date or misleading
  • Serve on the TUSM User Committee, and help shape business procedures for content users


Senior Writer

Suitable for: frequent to occasional users, users who require review of content before publishing.

Abilities: Can edit existing pages and create new pages. Must submit content for approval. (requires workflow)

Responsibilities:
  • upload web content to and maintain their allocated web pages
  • ensure information is accurate, relevant and consistent, and complies with School and University Web Policies
  • abide by TUSM Web procedures regarding content ownership
  • serve on the TUSM User Committee (at will)


Writer

Suitable for: occasional or temporary users, users who require review of content before publishing.

Abilities: Can edit existing pages. Must submit content for approval. (requires workflow)

Responsibilities:
  • upload web content to and maintain their allocated web pages
  • ensure information is accurate, relevant and consistent, and complies with School and University Web Policies
  • abide by TUSM Web Procedures regarding content ownership
  • serve on the TUSM User Committee (at will)
